What we collect, why, and what happens to your customers’ information when Piper works on your behalf.

Who we are
Beffer Ltd (“Beffer”, “we”, “us”) provides Piper, an AI admin assistant for UK trades businesses. Piper answers calls, handles email, drafts quotes, chases invoices and keeps a record of your customers.

The two hats we wear
This is the most important thing to understand about how Beffer handles data, because two different sets of rules apply.
- We are the controller of information about you — your account, your business details, your billing, how you use the service, and anything you send us through the waitlist or by email.
- We are a processor for information about your customers — the people who ring you, email you, receive your quotes and pay your invoices. You are the controller of that information. We only handle it to provide the service, and only in line with your instructions.
In plain terms: your customer list is yours, not ours. We hold it so Piper can do her job, and you can take it back or delete it at any time.
Information we collect about you
Waitlist information
When you join our waitlist we collect your name, business name, email address, phone number and trade. We use these only to contact you about your place on the waitlist and, if you go ahead, to set your account up. We do not add you to any marketing list without your agreement.
Account and setup information
When you become a customer we collect your business details, the areas you cover, how you price work, your rates or price book, your preferred wording, and how often you want quotes and invoices chased. We use this to configure Piper to work the way you do.
Billing information
Your plan, billing address and payment history. Card details are handled by our payment provider and are never stored on our systems.
Usage information
Basic technical information about how you use the service — pages visited, features used, errors encountered, browser and device type. We use this to keep the service working and to improve it.
Information we handle on your behalf
To do her job, Piper handles information about the people who contact your business. You remain the controller of all of it.
Calls
When Piper answers a call she captures the caller’s phone number, name, the nature of the job, the location, how urgent it is, and anything else they tell her. Calls are recorded and transcribed so that we can produce your summary, flag emergencies and log the enquiry against the right customer.
Those recordings and transcripts are held by Retell, the voice platform Piper runs on. The call itself is carried by Twilio, and the voice you hear is generated by ElevenLabs.
- Recordings and transcripts are kept for as long as your account is active, and after that until you ask us to delete them. You can ask us to delete any individual call at any time.
Callers must be told. Telling people that a call may be answered by an automated assistant and recorded is a legal requirement, not a courtesy, and it is your responsibility as the controller of that information. See Your responsibilities below.
If you connect your inbox, Piper reads incoming email in order to sort it by urgency, identify enquiries and draft replies. She accesses only what is needed to do that. We do not use the contents of your inbox to train models, and we do not share email content with anyone outside the suppliers listed below.
Quotes, invoices and customer records
Job details, addresses, prices, quote and invoice history, payment status, and the record of every contact attempt Piper makes when chasing.
Our lawful bases
- Contract: providing the service you have signed up for, and billing you for it.
- Legitimate interests: keeping the service secure, preventing abuse, improving how it works, and responding to you when you get in touch. We have considered your rights and do not believe this processing overrides them.
- Consent: optional communications, which you can withdraw at any time.
- Legal obligation: keeping financial records for as long as the law requires.
Where we act as your processor, the lawful basis for handling your customers’ information is yours to establish. We process it on your instructions.
Who we share it with
We never sell your data, or your customers’ data, and we do not pass it to anyone for their own purposes. The only companies that touch it are the suppliers we need to run the service, and they may only act on our instructions:

Every supplier is bound by a written contract holding them to the same standards we hold ourselves to. We will also disclose information where we are legally required to.
Where your data is stored
Your account and customer records are stored in our Supabase database. Several of the suppliers above operate outside the UK, so some processing happens abroad; where it does, we rely on the UK International Data Transfer Agreement, the UK Addendum to the EU Standard Contractual Clauses, or an equivalent safeguard.
How long we keep it
- Waitlist details: until you ask us to remove them.
- Account and customer data: for as long as your account is active, and after you close it until you ask us to delete it — so you can come back, or export it, whenever you are ready.
- Call recordings and transcripts: as set out above.
- Financial records: six years, as UK tax law requires.
Security
Data is encrypted in transit and at rest. Access is restricted to the people who need it to do their job, and is logged. Call recordings are encrypted. We review our security arrangements regularly, and will notify you and the ICO of any breach that meets the reporting threshold within 72 hours of becoming aware of it.
Your rights
Under UK GDPR you can ask us to:
- Give you a copy of the personal data we hold about you
- Correct anything that is wrong
- Delete your data, where we have no overriding reason to keep it
- Restrict or object to how we use it
- Send your data to another provider in a portable format
- Withdraw consent, where consent is what we rely on

If one of your customers asks us to do any of the above, we will point them to you, because you are the controller of that information — and we will help you respond.
Your responsibilities
Because you are the controller of your customers’ information, some obligations sit with you:
- Telling your customers that calls to your business may be answered by an automated assistant and recorded
- Making sure your own privacy notice covers the fact that a supplier handles enquiries on your behalf
- Having a lawful basis for the chasing or marketing messages you ask Piper to send
- Responding to requests from your customers about their own data

Changes to this policy
We may update this policy. If a change materially affects how we handle your data, we will email you before it takes effect.
Complaints
If you are unhappy with how we have handled your data, tell us first at hello@beffer.co.uk and we will try to put it right. You also have the right to complain to the Information Commissioner’s Office at ico.org.uk or on 0303 123 1113.
